Kanad Hospital (“we”, “us”, “our”) is committed to protecting the privacy of every person who uses this website (kanadhospital.org). This policy explains what information we collect, why we collect it, how we handle it, and your rights under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, “PDPL”) and Abu Dhabi Department of Health (DoH) regulations.

1. Information We Collect

1.1 Information you provide directly

  • Contact form: name, email address, phone number, subject, and message text.
  • Appointment request form: full name, phone number, email address, preferred date and time, insurance provider, selected department and doctor, and any additional notes.
  • Omar AI Assistant (chatbot): the text of messages you send during a chat session.

1.2 Information collected automatically

  • Chat session identifier: when you use the Omar AI Assistant, a random session identifier (UUID) is stored in your browser’s local storage to maintain conversation continuity. This identifier cannot be used to identify you personally.

1.3 Information we do not collect

  • We do not use analytics or tracking cookies on this website.
  • We do not use browser fingerprinting, advertising trackers, or retargeting pixels.
  • We do not collect your location data, device identifiers, or browsing history.

Omar chat assistant:our on-site Omar assistant is a guided, menu-based helper that runs entirely in your browser. It does not use AI, does not send your messages to any server, and does not log or store your conversation. Choosing “Talk to a person” opens WhatsApp only if you tap it.

Important notice: the current website is a pre-production prototype. Before the site goes live on kanadhospital.org, all services that process personal data (form submission handling) will be hosted on UAE-based infrastructure in compliance with PDPL data residency requirements and DoH regulations.

4. Data Residency

Kanad Hospital is licensed and regulated in Abu Dhabi, UAE. We are committed to ensuring that all personal data and patient-related information is stored and processed within the UAE once this website enters production. During the current pre-production phase, the static website content (pages, images, text) contains no personal data. Chat conversation data is processed via services located outside the UAE; this will be migrated to UAE-hosted infrastructure before public launch.

5. Data Retention

  • Contact and appointment form data: retained for up to 12 months from submission, then securely deleted.
  • Chat conversation logs: retained for up to 6 months for quality assurance, then securely deleted.
  • Chat session ID (local storage): persists in your browser until you clear your browser data or reset the chat conversation.

6. Your Rights

Under the UAE PDPL, you have the right to:

  • Access — request a copy of any personal data we hold about you.
  • Correction — request correction of inaccurate or incomplete data.
  • Deletion — request deletion of your personal data, subject to any legal retention obligations.
  • Restriction — request that we limit processing of your data in certain circumstances.
  • Objection — object to processing of your data based on legitimate interest.
  • Portability — receive your data in a structured, commonly used format.

7. Data Security

We implement appropriate technical and organisational measures to protect your data, including:

  • TLS encryption for all data in transit (HTTPS enforced site-wide).
  • HTTP Strict Transport Security (HSTS) with a two-year max-age.
  • Content Security Policy (CSP) restricting script and connection sources.
  • Input sanitisation on all user-submitted content (chatbot, forms).
  • DOMPurify HTML sanitisation on chatbot message rendering.

8. Children’s Privacy

This website is not directed at children under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will take steps to delete it.

9. Changes to This Policy

We may update this policy from time to time. The “Last updated” date at the top of this section will be revised accordingly. We encourage you to review this page periodically.

Cookie & Storage Policy

This website does not set any cookies. We do not use analytics cookies, advertising cookies, or tracking cookies of any kind.

Our hosting provider (Cloudflare) may set technical cookies required for security and performance (e.g., __cf_bm for bot management). These are strictly necessary cookies set by the infrastructure provider and are not used by Kanad Hospital to track or identify visitors.

2. Local Storage

This website uses browser local storage for one purpose only:

This session identifier is a random string that cannot be used to identify you. You can delete it at any time by:

If we introduce analytics in the future, this policy will be updated accordingly and, where required, a cookie consent mechanism will be implemented before any non-essential cookies are set.

AI Assistant Disclosure

In accordance with the Abu Dhabi Department of Health (DoH) Responsible Artificial Intelligence Standard (DoH/ST/DDGO/RAI/V1/2025), we provide the following disclosure about the AI-powered assistant available on this website.

1. What Is Omar?

Omar is an artificial intelligence (AI) powered virtual assistant. It uses a large language model (LLM) to answer general questions about Kanad Hospital, including information about our doctors, departments, services, clinic hours, insurance coverage, and appointment booking.

2. What Omar Is Not

  • Omar is not a medical professional and cannot provide medical advice, diagnoses, or treatment recommendations.
  • Omar does not access your medical records or any patient health information systems.
  • Omar does not make clinical decisions. All clinical decisions at Kanad Hospital are made by qualified, licensed healthcare professionals.

3. How Omar Works

  • Knowledge source: Omar draws on publicly available information from this website — doctor profiles, department descriptions, service details, clinic hours, and insurance information.
  • Technology: Omar uses a large language model to generate natural-language responses based on its knowledge base.
  • Conversation logging: Your chat messages and Omar’s responses are logged for quality assurance purposes. These logs are associated with a random session identifier only — not with your name, email, or any personal information unless you voluntarily include it in your messages.
  • No training on your data: Your conversations are not used to train or fine-tune AI models.

4. Limitations

  • Omar may occasionally provide inaccurate, incomplete, or outdated information.
  • Omar is designed to discuss Kanad Hospital topics only and will decline to answer questions outside this scope.
  • Omar’s responses should be verified by contacting the hospital directly for anything critical, especially regarding appointment availability, insurance coverage for specific procedures, or medical concerns.

You are not required to use Omar. The chatbot is entirely optional. You can close the chat window at any time and access all the same information by browsing the website or contacting us directly. If you wish to have your chat conversation logs deleted, contact us at info@kanadhospital.org.

8. Oversight and Governance

The Omar AI Assistant operates under the governance framework mandated by the DoH Responsible AI Standard. This includes:

  • Designated human oversight of AI system outputs.
  • Regular review of conversation quality and accuracy.
  • Input sanitisation and output sanitisation to prevent injection attacks and harmful content.
  • Monitoring for bias, inaccuracy, and inappropriate responses.
  • A clear escalation path to human staff for any issue the AI cannot resolve.
